BWT FlowDesk: software for running a transport company

BWT FlowDesk opens in your browser. Drivers, vehicles, IMI declarations and deadlines sit in one database, not in a handful of spreadsheets and a ring binder.

IMI declarations and driver posting

The posting declarations required by the Mobility Package go to IMI (the Internal Market Information System) straight from FlowDesk. It covers international transport and cabotage, goods and passengers, and every country the IMI portal accepts: the EU member states and Norway. With ten drivers and three countries you don't click thirty times. You tick the drivers and the countries, then create or extend the declarations in one go.

Expiring declarations renew themselves. Once you turn on automatic renewal for your company, every night between 00:01 and 06:59 FlowDesk finds the declarations that expire within 7 days and extends them by another 6 months through the Road Transport API. You can export the whole fleet's declarations to PDF or a ZIP archive. The details are on our page about posting drivers in IMI (in Polish).

Driver records and driving licence checks in CEPiK

Every driver has a file with personal details, ID document, driving licence number and categories, driver card and driver attestation. Already keeping a list? Import it from a CSV file.

You check the driver's licence in CEPiK, Poland's central register of vehicles and drivers. The file shows the document status (“Active”, “Withheld”, “Revoked” and the rest), the expiry date, the categories and Code 95 validity. A driver who has had their licence taken away won't always mention it at the office. Check before the trip and you know. See how the CEPiK driving licence check (in Polish) works.

Vehicle records and vehicle history from CEPiK

A vehicle's file holds the registration number, make, vehicle and body type, year of manufacture, VIN and date of first registration. Each vehicle's deadlines (roadworthiness test, liability insurance, tachograph calibration and the rest) feed the alerts described below.

Check a used tractor unit before you buy it. For a vehicle on Polish plates, FlowDesk pulls its history from CEPiK: first registration, registration in Poland, successive owners, disposals, roadworthiness tests, and every time the registration certificate was withheld and returned. Next to it you see when the insurance and the roadworthiness test expire, plus risk signals from foreign databases (theft, scrapping, damage) that the government Vehicle History service (Historia Pojazdu) provides from Carfax and autoDNA reports. You can run the same check on a truck your driver is already out in. Read more on our page about the CEPiK vehicle check (in Polish).

Alerts for expiring documents and deadlines

A roadworthiness test or an insurance renewal is easy to miss once you run a dozen or more vehicles. FlowDesk emails you before the date passes. Alerts arrive in Polish, English, Russian or Romanian.

For drivers, FlowDesk watches the driver attestation, medical and psychological examinations, Code 95, the ADR certificate and health and safety training, and it emails you straight away when CEPiK shows that a driving licence has been withheld. For vehicles it's liability insurance, the roadworthiness test, tachograph calibration, the ATP certificate, ADR, UDT, TDT and the warranty.

The dashboard lists the documents that are about to expire. Each one has a counter (“Today”, “In 3 days”, “Overdue”), and the colour tells you what's urgent.

Document templates for 2026 and 2027

The FlowDesk library has templates you can download as PDF and Word files:

  • employment contracts and mandate contracts
  • work regulations and remuneration rules
  • Community licence paperwork and the driver attestation application
  • declarations and notices

Some documents come in several languages. The full list with descriptions is on the transport document templates page (in Polish).

BWT GO: the mobile app for drivers

BWT GO is an iOS and Android app for your drivers. Each of them has their own IMI declarations in it, available without a signal too, and checks their own working time from their driver card.

IMI declarations on the driver's phone

The driver sees their IMI declarations grouped by country of posting. At a roadside check they open the right one and show the inspector the QR code to scan. No hunting around the cab for a printout, no phoning the office.

Works without a signal. Once downloaded, declarations stay on the phone, so the driver can open them in a lorry park with no coverage. Each one shows its status: “Active”, “Draft” or “Expired”. With a connection, the driver can also save a declaration as a PDF.

Driver card readout, DDD file and 561/2006 infringements

The driver checks their working time on the phone, no computer needed. They plug a USB reader into an Android phone, and BWT GO reads the driver card and saves its data as a DDD file. It also opens a ready DDD file from the phone's storage, the cloud or an email, on Android and on iPhone.

The app works out daily, weekly and fortnightly driving time, continuous driving, and daily and weekly rest including compensation. If the card has been used in a second-generation tachograph, the app also shows GNSS positions and border crossings. Infringements of Regulation 561/2006 are listed separately, each with its date.

The driver sends the file to the office with one button. More about DDD file analysis (in Polish).

Posting declaration guide

Cabotage and cross-trade need an IMI posting declaration on postingdeclaration.eu before the trip starts: one per driver and host country, valid up to 6 months. Our guide covers which operations need one, how to file it, roadside checks and penalties.
