Declaration Management

Posting declarations are a key element of the BWT system. This section describes how to create, edit and manage declarations.

Browsing declaration list

The declaration list presents all created posting documents:

  • Sorting by creation date, driver or country
  • Filtering by status (DRAFT, SUBMITTED, WITHDRAWN, EXPIRED)
  • Search by driver name or declaration number
  • Pagination for large number of records

Filters and search

The system offers advanced filters:

Status filter

DRAFT, SUBMITTED, WITHDRAWN, EXPIRED, all

Date filter

Creation or validity date range

Country filter

Posting country (DE, FR, AT, etc.)

Driver filter

Search by specific driver

Newest per country

Shows only the newest declaration for each country

Creating a new declaration

To create a new posting declaration, follow these steps:

  1. Click 'New declaration' button or use quick action
  2. Select a driver from the dropdown list
  3. Select the posting country
  4. Enter the posting start date
  5. Enter the posting end date
  6. Optionally add the place of work
  7. Check the data and click 'Create declaration'
  8. The system will automatically generate a declaration number

  • Make sure the driver has valid documents before creating a declaration
  • Start date cannot be in the past (for some countries)
  • Maximum posting period varies depending on the country

Editing an existing declaration

Declaration editing is possible under certain conditions:

  • You can edit a declaration before sending it to the IMI system
  • After sending, you can only cancel the declaration
  • Changing dates requires re-checking driver documents
  1. Find the declaration in the list
  2. Click the pencil icon (edit)
  3. Make changes in the form
  4. Click 'Save changes'

Downloading single declaration PDF

Each declaration can be downloaded as a PDF document:

  1. Find the declaration in the list
  2. Click the PDF icon or 'Download' button
  3. The file will be automatically downloaded
  4. PDF contains all data required by regulations

Bulk download (Bulk ZIP Download)

The system allows downloading multiple declarations at once:

  1. Select declarations using checkboxes
  2. Click 'Download selected' button
  3. Choose format (ZIP with individual PDFs or merged PDF)
  4. For small number of files (<50) - immediate download
  5. For larger number - system will create a queue task
  6. You will receive a notification when the archive is ready
  • Maximum 200 declarations in one archive
  • Archive available for 24 hours after creation

Declaration statuses

Each declaration has a specific status:

DRAFTDeclaration created but not sent to API
SUBMITTEDDeclaration sent and active
WITHDRAWNDeclaration withdrawn by user
EXPIREDPosting period has ended

Extending expiring declarations

When a declaration is approaching its expiry date:

  1. System will show notification about expiring declaration
  2. Click 'Extend' next to the declaration
  3. Enter new end date
  4. System will create a new declaration preserving data
  • Extend the declaration before it expires
  • You can also create a completely new declaration
